In CataList on a book's Title Detail page, bibliographic details are mostly displayed under the contributor name(s) and in the accordion dropdown in the left column. If the information for Sales Rights and Supply Detail are not populated, those accordion flaps will not display on the Title Detail page.

In Webform a book/record’s Title Detail page allows you to enter/edit the bibliographic information, upload image assets and check your book’s ONIX record for validation. Once you have entered/edited your record in Webform make sure to save it and send your ONIX to BiblioShare or any other trading partners directly from Webform.

To access the Title Detail page on Webform, click the Edit button for the record you want to work on. If you want to work on a new title/record, click the +Add New Title button on the top right.

All bibliographic information has to be entered in the Title Detail page of your book/record in Webform.

Click on the corresponding bibliographic category to learn how to populate each specific field in Webform.

1. Title, Subtitle & Series Title

Step 1

Fill in the main title of your book in the Title field on Webform.

Step 2

If your title begins with a prefix (a, an, or the), split the title to fill in the Title Prefix and Title without prefix fields, which will automatically populate the Title field. Why? Splitting your title helps retailers sort them appropriately by the first letter of the title, instead of having it indexed by the prefix.

Step 3

Add the book's subtitle, if it has one, in the Subtitle field under the General Information tab.

Hot Tip:

If the title of your book does not begin with a prefix, then you only need to fill in the Title field, leaving the Title Prefix and Title without prefix fields empty

2. Product Form

The product form category, where titles are identified as digital versus physical publications, is very important: Not only is the title's product form displayed in title entries on CataList, but the product form is also used as a search filter, allowing users to isolate books based on product form.

Step 1

Select the correct product form using the Product form field in the General Information tab on Webform.

Step 2

Select the Product Form Detail.

Hot Tip:

Identify digital products by filling in the Epublication type field, in Webform. For print products & digital products, you can also optionally fill in the Product form detail field, in addition to the Product form field.

3. Sales Rights

At the bottom of the General information tab you will find For Sale with exclusive rights field.

Using the General Information tab on Webform, fill in the For Sale with exclusive rights field with the sales rights for your title. This information is displayed when you open the Sales Rights accordion on the Title Detail page for your title in CataList.

Step 1

Click the globe to see the list of countries available for your title.

Step 2

From the list, select the appropriate country/countries and click OK.

Hot Tip:

If you hold the rights to sell the book in any territory, select “WORLD” in the “For sale with exclusive rights” field.

If you’re only planning to sell the book within Canada, or if you’re unsure about where, beyond this country, you may hold sales rights, select “Canada”.

4.(a) Publisher

Step 1

To enter Publisher name go to General Information tab on your Title Detail page.

Step 2

Enter Publisher name in it’s respective field. Make sure your publisher name is entered exactly the same way in all of your books/records. If your publisher name is not consistent in all your records then you may experience display or indexing issues in systems of downstream data recipients, i.e retailers, libraries, etc.

4.(b) Imprint

To enter Imprint Name in Webform

Step 1

On your Title Detail page click on the Imprint tab to see the list of options available.

Step 2

Enter your Imprint Name in the Imprint Name field. Please note, that if a Publisher Name and Imprint Name matches then only one displays.

Using the Imprint tab on Webform, you can assign the proprietorial code value for your imprint using the Name Code Value field under the Imprint tab. The Name Code should be set to 01 - Proprietary.

Hot Tip:

Publisher and imprint are both expected by retailers — provide both even if they're the same.

ISNI is now a widely accepted Name Code Value for your Publishers and Imprints. You can add multiple Publisher & Imprint entries while working in Advanced Form.

5. Supply Detail

This is critical information for retailers, distributors and libraries to be able to sell your book. As this is a required information, it is also required for validating your ONIX record.

Edit your Supply Detail Information

Step 1

On your Title Detail page, in the Supply Detail tab click on the + Add New Supplier button, located on right of Supplier Name. As seen in Image, labeled number 2.

  • A new editable supplier section will appear within the tab.

Step 2

On the Supply Detail tab on Webform, fill in the Pack Quantity field with the carton quantity numbers for your title – retailers are expecting this information to determine shipping costs and space in their inventory.

Step 3

Add Price, Price Type, Currency and Country.

If you are listing your book in multiple currencies or you want to list different Price Types for a single book/record you can add multiple prices.

Hot Tip:

  1. Price Type 01-RRP Excluding Tax is most commonly used for the sale of books in Canadian Market.

  2. You are able to add different prices for different currencies, territories and price types.

6. Audience, Age Range & Subject Codes

On your Title Detail page click on the Subject & Audience tab to enter BISAC and Thema Codes.

To select BISAC/Thema information:

Click the show list button to see the full list of BISAC Subject Codes

Step 2

Click the show list button to see the full item list of Thema Subject Codes

Step 3

Click Audience Range field to select the range type - years, months, grades, etc. Then define the age range in the fields labelled From and To.

Here’s a tutorial on the best practices of Age Range and how it can help sell more of your books in the Canadian market.

Hot Tip:

  • If the audience of your book is General Adult you should not have to define the age range.

  • Ranges should be provided on all juvenile and young adult products, and should be as precise as possible, spanning no more than a few years. For example, ages 0-3 or 9-12.

7.(a) Measure Extent, Page Count

All available data for page count, measure and extent will be available in the Title Detail page display. Located under title price and status.

Online booksellers in particular need complete and accurate measure information for calculating shipping package sizes and costs.

Step 1

Click on the Measure & Extent tab on your Title Detail page. You can now enter the measure and extent information of your book.

Step 2

Enter physical measure for physical publications. You can enter them in inches, centimeters, grams, kilograms and pounds.

Step 3

For Digital publications enter Duration (if applicable) and its Measure unit and/or File Size and its Measure unit

Step 4

To enter page count, click General Information tab, scroll down and enter your data in the Page Count field.

7.(b) Illustrations

Step 1

Click on the Illustrations tab to see the Type, Number and Description fields.

Step 2

Click on Type field to select from a list of available types of illustration types/codes.

Step 3

Enter the number of illustrations in the Number field. Add descriptions of your illustrations in the Description field, only if the description is offering an explanation about the illustrations that the code is not able to offer.

8. Publication Date & Language

Step 1

In Webform’s Title Detail page click on the General Information tab and scroll down to see the fields labelled Language of text and Publication Date.

Step 2

Enter the primary language of your publication and the publication date of your book.

Hot Tip:

You are able to set an on-sale date and expected ship date of your book inside the Supply Detail page.

9. Description, Author Bio, Reviews, Table of Contents & Excerpt

Step 1

To enter your book’s description, author bio, reviews, table of contents(TOC) and excerpt click on the Text tab on your Title Detail page.

Step 2

In each of the six boxes you can enter HTML formatted text to define the book’s description, author bio, reviews, TOC and excerpt. Only enter basic HTML codes that are allowed in ONIX. Do not apply style attributes to any tags, and avoid using <div> tags altogether. They are not allowed in ONIX, and can create errors in the recipient's web listing of your book.
