BiblioShare Webform allows you to export your catalogue's data in three ways:

  1. Export as an ONIX record in XML format[SHORT or REF] and download to your computer.

  2. Export your metadata in an Excel file.

  3. Export your ONIX data directly to BiblioShare, or other trading partners.

You can export a single, multiple or all title/records in your catalogue.

Exporting a Full ONIX record as an XML file

  • Click the Actions drop-down menu and select Export selected titles to ONIX 2.1.

  • In the pop-up that appears, click OK to export all titles. The file will save automatically to your computer.

  • The entire catalogue that you see in the Manage Titles screen will be downloaded in XML format.

  • The file will be named "PublisherName_Full_YYYYDDMM.xml" where "Full" indicates that this ONIX record consists of your entire catalogue as it exists in the Webform. 

Exporting a Delta ONIX record as an XML file

Select your titles in one of two ways:

  • Through Advanced Search:

    • Click the Advanced Search button.

    • Enter criteria for the specific titles you want to export as a Delta record.

    • Click the Search button.

    • A list of results matching your criteria will be seen on the Manage Titles screen. Adjust your search criteria if necessary.

  • Selecting titles manually:

    • Alternatively, you can also select the boxes next to each title you want to export from the Manage Titles screen.

Export/Transmit a Full ONIX file to BiblioShare

Exporting/Transmiting a Full ONIX file refers to a predictable answer, an ONIX file with all of your titles/records. Data aggregators like BiblioShare will often ask their clients to provide a full file annually to make sure all bibliographic data is up to date.

To download a Full ONIX file follow these steps

Step 1

  • Go to your Catalogue Manager page. Select all your titles by click on the check box on the first row of your Titles List.

Hot tip:

  • If you have more than 25 titles, click the Page size tab. You can select up to 500 titles a page. If you have more than 500 titles than it’s best to send break your file in parts and send 500 in the first and then the rest in the second

Step 2

  • Once you have all your titles/records selected, click the Actions drop-down menu and select

The file containing the titles you have selected will be exported as an XML file and saved automatically to your computer.

The file will be named "PublisherName_Delta_YYYYDDMM.xml" where "Delta" indicates that this ONIX record consists of a partial selection of your catalogue as it exists in the Webform.

Exporting a Full ONIX record to BiblioShare

Click the Actions drop-down menu or click on the link above the Uploaded to BiblioShare column on the Title Catalogue page.

In the Actions drop-down you will see an option to Export titles to BiblioShare - <YourBiblioShareAccountName>.

Select this option and the Webform will automatically transfer your entire catalogue to BiblioShare.

  • Transmit to Partners.

Step 3

  • In the pop-up you will see an FTP partner listed as BNC BiblioShare - [Your Publisher Name]. To select this partner click on the checkbox next to the Partner Name.

Step 4

  • Once you have selected a partner to Transmit/Export data to, the Transmit X titles to selected partners button on the top right of the pop up will become active.

  • Click Transmit X title(s) to selected partners to start transmission/export.

  • Once the transmission is completed you will see a notifications on your Catalogue Manager page. If there is an error you will also see a notification.

Exporting a Delta ONIX

Delta file contains only a select portion of your data. For example, you can export an ONIX file for all the titles/records by a particular author, a mix of titles/records of your choice, or even just a single title. Delta files are shared to communicate on-going changes to title(s) with your trading partners, such as BiblioShare.

Step 1

  • Select the title(s) you want to select by clicking on the checkbox by the title listing.

Step 2

  • Once you have your desired titles/records selected, click the Actions drop-down menu and select Transmit to Partners.

Step 3

  • In the pop-up you will see an FTP partner listed as BNC BiblioShare - [Your Publisher Name]. To select this partner click on the checkbox next to the Partner Name.

Step 4

  • Once you have selected BiblioShare as the partner to Transmit/Export data to, the Transmit X titles to selected partners button on the top right of the pop up will become active.

  • Click Transmit X title(s) to selected partners to start transmission/export.

  • Once the transmission is completed you will see a notifications on your Catalogue Manager page. If there is an error you will also see a notification.
